Product Documents: What to Request

Define which documents you need and the product, specification or batch each must cover.

Ask for documents with a clear purpose and scope, then check that the product identity and version match the item under discussion.

Begin with your review needs

List the information your team needs before placing an order. Depending on the product and intended use, your request may include a specification sheet, safety information, a batch-related report or other supporting material. Requesting a document does not establish that it is available or applicable.

Specify what each document should cover

Record the exact product, form or variant being discussed. Where a document relates to a batch, ask which batch it covers. Note any version or date requirement. A general brochure and a product-specific record serve different purposes, so make the intended use of each request clear.

Separate document review from approval

Identify any destination or use requirements your team has already established and explain which information is needed to assess them. The presence of a document alone does not settle whether a product is suitable for a formulation or accepted for a particular market.

Your enquiry checklist

  • Document type and reason for the request
  • Exact product and variant in scope
  • Relevant version, date or batch details
  • Intended use and destination requirements
  • Questions that require further review

Document availability and scope must be confirmed for the specific product. This checklist is not a statement of certification, regulatory acceptance or technical validation.
